JOB TITLE: Director of Finance & Business Administration                                     REPORTS TO: Principal/Owner
 

SUPERVISES: Office Manager and oversees external vendor relationships.

Clients ranging from small business owners to the largest institutional real estate investment firms trust us to help them acquire, renovate, improve, and develop a variety of property types thereby making a difference in neighborhoods throughout the United States.
 

SUMMARY:

In this role you will work closely with the leadership team to help run the finance and business operations contributing through Operational and Business Insights, and Financial Acuity.


PRIMARY RESPONSIBILITIES:

Accounting

  • Manage a documented system of sound accounting policies, procedures, and systems.
  • Oversee employee time tracking (currently using Timesheets.com).
  • Manage payroll procedures for each bi-weekly period (currently using ADP services).
  • Supervise preparation of our fees and expenses billing (typically monthly) by projects to clients.
  • Collect accounts receivables (A/R) promptly to minimize any losses.
  • Supervise accounts payable (A/P) – vendor invoices, debt payments, etc.
  • Oversee reconciliation of bank, credit, and other accounts (currently using QuickBooks desktop software).
  • Calculate financial and operating metrics, analyzing and reporting to management.
  • Work with external CPA and tax advisor to provide data and support needed to timely prepare and submit federal and state corporate and tax filings.
  • Support project managers with financial tracking and reporting on projects budgets, commitments, invoices, funding, and payments.
  • Maintain inventory and records of owned and rented fixtures and equipment (assets).

Finance and Compliance

  • Ensure that the Company complies with applicable local, state, and federal government reporting requirements and tax filings.
  • Benchmark Company performance against peers and advise.
  • Prepare the annual operating and capital budgets and update forecasts when needed.
  • Provide financial analyses for capital investments, pricing decisions, and contract negotiations.
  • Manage cash and treasury operations.
  • Develop relationships with banks, lenders, private equity, and family offices to enable growth of the Company and build partnerships for financing associated real estate entities and projects.

Business Administration

  • Oversee human resource functions, including external recruiters and consultants.
  • Oversee information technology needs, including multiple external service providers.
  • Manage business property and liability insurances working with external broker and insurers.
  • Oversee employee benefits programs, including health insurance and retirement plans.
  • Supervise office manager in the maintenance of office(s), facilities, equipment, and supplies.
 

EDUCATIONAL REQUIREMENTS:

  • Earned Bachelor’s degree in business, accounting or finance (Master's degree in Business or Management preferred).

  • Experience as finance or business manager.
  • Experience successfully growing small professional service business(s) (preferred).
  • Senior level experience in managing employees and teams.
